Company Guide for Student Hosts

General Information

  • Hosting sign-ups are on a first-come, first-served basis, starting with the 5th year class. View the list of 2012 registrants to see if a student has signed up for your company (PDF).

  • We ask the students to match their option choice with the type of students normally hired by the company. However, in some cases, there may be an imbalance between the companies and the number of students in particular options, making it difficult to provide an option match. Please note that most host-related activities are non-option specific, and your student host has been asked to help find ways to facilitate contact between you and students in the options you are looking for. Also note that some student hosts have not yet picked an option; hosting your company is an opportunity for them to learn more about a specific discipline.

  • Students host one company, and we prefer there be only one student host per company.

  • Student hosts are asked to contact their company as soon as possible after sign-ups. They will be given the name, phone number, and email address of the company contact, as well as the names and email addresses of the attendees. Student are asked to make the initial contact by phone. If you are unavailable when your student host calls, please try to return the call as soon as possible.

  • Student host sign ups will begin in early September. You should hear from your student host by early-September. Please wait until then to contact the AE department with student host inquiries.

  • The duties of the student hosts include:

    • Provide help unloading vehicles at the Bryce Jordan Center and setting up the display. If you need help packing up your display, arrange this with your student host ahead of time.

    • Answer questions about Career Fair, the AE department, and Penn State.

    • Act as a liaison between the company and the AE office.

Student hosts DO NOT make travel arrangements or hotel reservations or pick up company representatives at the airport.

Additional Student Host Duties and Procedures:

  • On the morning of the Career Fair, company representatives can pull up to the curb at the Bryce Jordan Center and drop off their displays. At that time, they must park elsewhere. Parking information will be made available to all companies closer to the date of the Career Fair.

  • Career Fair registration packets for the companies will be available starting at 2:00 PM on the day before the Career Fair (Monday, September 24). They can be picked up between 2:00 PM and 5:00 PM in the AE office, at the Career Fair Social Monday night, and at the registration table on the morning of the Career Fair. Important items to be included in the packet will be the parking instructions and name tags.

  • Student hosts are invited to attend the Career Fair Social with their company representatives. The Social will be held on Monday, September 24, 2012 from 7:00 – 9:00 pm at the Hintz Family Alumni Center.

Frequently Asked Questions:

  • Can a company ship their display and materials to Penn State in advance of the Career Fair?

Yes. Companies may ship their displays to the AE office (104 Engineering Unit A, ATTN: CAREER FAIR MATERIALS, University Park, PA 16802) if they make sure that the displays arrive by noon on the day before the Career Fair. The AE Department will then transport the displays and materials to the Bryce Jordan Center that afternoon. Otherwise, it is the responsibility of the company to get the displays and materials to the Bryce Jordan Center. Student hosts are available to help with this process as appropriate.

  • Is it possible for the company to obtain advance resumes of the students?

Advance resume books and/or web access to resumes is available to any company which has registered within the normal time period. Information on obtaining resumes was included on the registration form. Any requests for or questions concerning the advance resumes should be directed to Deb Sam.

  • Why is my student host a second or third year AE student?

We welcome participation by all AE students in the hosting process. Hosting sign ups are first made available to 5th year AE students, and then to the 4th year class because those students have already selected options and it makes match ups a little easier. Shortly after that process, the hosting privilege is opened up to all remaining AE students.
