PREP Timeline 2008




March - April:

1. Staff member or supervisor initiates discussion of PREP eligibility with supervisor prior to or during annual performance review.  The annual performance review (SRDP) is due in the College HR Office by April 30, 2008 .

2. Supervisor discusses cases with Department Head.

3. Based on discussions, employee either proceeds immediately with assembling dossier or formulates a plan of action to prepare for a future review based on the review criteria.  Although a candidate may have received (above average) SRDP ratings, the supervisor/department head may have reservations regarding PREP recommendations.  Supervisor review, particularly department heads are expected to make honest, candid recommendations; difficult decisions should not be avoided and deferred for PREP review.

4. Attend one of the required PREP orientation sessions.  (Consider inviting your supervisor)
 

April:

1. Staff member compiles information on relevant activities for dossier within specified outline:

- Cover Page
- Narrative Statement (1 page)
- Two (2) most recent performance evaluations (SRDPs)
- List/Description of accomplishments/activities related to the specified criteria:

o Motivation and Initiative (1 page)
o Creativity and Innovations (1 page)
o Quantity (1 page)
o Professional Development (1-2 pages)
o Department/College/University Service (2 pages)


The PREP criteria are separate from, and meant to supplement, the criteria evaluated through effective use of the annual Staff Review and Development Plan (SRDP) process:

SRDP Criteria:
 

- Job Knowledge                - Judgment and Problem Solving
- Self-Management             - Teamwork
- Quality                             - Support of Diversity
- Customer Service            - Communication

2. Employee submits dossier to Supervisor, who adds one-page evaluation statement.

3. Supervisor submits dossier to Dept. Head/Unit Leader who reviews and adds one-page evaluation statement.

4. Final dossier submitted to College HR Office by 5:00 p.m. on May 2, 2008 .
 

May:

1. College Peer Review Committee reviews all dossiers

Human Resources forwards complete set of dossiers to the College Peer Review Committee members for review.  The committee then meets to discuss and evaluate each candidate’s dossier.  Their recommendations are forwarded to the Dean or Associate Dean.


2. Dean or Associate Dean for Administration and Planning reviews dossiers and College committee’s recommendations for final approval.

June:

1.  Employee notified of final decision by their supervisor/department head; recognized with certificate.

July:

1. Promotion increase of 8% effective on July 1, 2008.

2. Promotion increase is separate from the annual salary increase (also effective on July 1).
